Info For Class Reps

If you are interested in being a class rep for your child’s division please contact your child’s teacher directly.
The two main responsibilities of a class rep are:
– distributing the class list – from the teacher – to all families in your division;
– organizing teacher gifts (see point 3 below).
Thank you for volunteering to be the class parent representative for your child’s division!


  1. Here are the responsibilities involved in this role (prior to 2020):
    Your first task is to compile a class list with everyone’s contact information. To do that, you need to create a form for every family in your class to fill out. Here is the template for that form. Personalize it for yourself and print out enough copies for everyone in the class. Then bring them to your teacher to distribute to the students. If you are lucky, everyone will respond by email and you won’t have to try to figure out people’s email addresses from their handwriting! 😉 If some parents return the form to school, the teacher will probably send it to you via your child’s agenda. You may want to ask the teacher for a list of the students in the class – that way you will know if you are still missing someone’s information. Once you have your list of contacts, you might want to share it with the teacher and with the parents – some may wish to contact each other for playdates and such and having this list would make that easy. Please remember to only include the families who have given their consent to having their information shared.

  2. Your main role as a class rep is to forward emails from the PAC to your division. Sometimes they come with pretty short notice and we apologize for that in advance! A few recommendations to make forwarding super fast and easy – as soon as you have the contact information for the families in your division, create an email group with all the email addresses from your class – in gmail, you can do that by going to contacts, clicking “create new label”, and adding all the class contacts under that label (say “Doncaster_2022_div7”); when you need to send an email to the class, you simply go to the BCC field and type the label which automatically enters all the addresses. When sending mass emails, use BCC instead of TO or CC because not all parents might be comfortable sharing their email address with everyone else; also it doesn’t look as cluttered. – last note about forwarding emails – all of them would probably start with “Could you please forward this to your class…” It would be great if you could delete the part that is addressed to you and only forward the part that’s for the class. In fact, you might want to add your own little blurb regarding what the forwarded email is about, making it more personal for your class. It’s up to you!

  3. In addition to creating the class list, sharing it with the class and the teacher, and forwarding emails, you will also be responsible for organizing teacher gifts – most classes do one for the winter holidays and one for the end of the year. Again, that’s up to you and the families in your division!

  4. If you haven’t already, you should definitely introduce yourself to your child’s teacher and let them know you are the class rep. They might have their own requests from you – like finding drivers for field trips, etc.

  5. One day every month (other than September) we will have hot lunch. The dates are already on the calendar and will be sent out again as each lunch approaches. We try to have at least one adult from each class present to help distribute the food. That CAN be you but it doesn’t have to be you! It would be great if you made sure someone from your class does come!
